We’re seeking an experienced professional to oversee office operations, project cost control, and contractual administration. This pivotal role ensures smooth project delivery, coordinating across finance, HR, contracts, and site teams while keeping systems, reporting, and compliance on track.
About the Role
As Project Operations & Administration Manager, you’ll play a key part in the success of our projects by managing the day-to-day office and project administration functions. From contracts and procurement through to HR, finance reporting, and office systems, you’ll provide leadership and coordination that ensures accuracy, compliance, and efficiency.
This is a hands-on role requiring strong organisational skills, excellent stakeholder management, and the ability to juggle competing priorities in a fast-paced environment.
Key Responsibilities

Oversee project cost control, purchasing, and invoice processing

Coordinate contractual relationships and manage purchase order documentation

Support accurate financial reporting, cashflow, and compliance in partnership with Finance

Supervise and coordinate HR-related activities (contracts, onboarding, disciplinary, training)

Provide training and support in OMS/Oracle systems and office procedures

Maintain systems, records, and databases to ensure accuracy and compliance
-
Manage office administration including fleet, equipment registers, travel, and meetings
-
Liaise with vendors, manage progress claims, and resolve discrepancies

Support project teams with reporting, permitting, logistics, and documentation
About You
To succeed in this role, you’ll bring:

A tertiary qualification in Business Administration, Construction Management, or similar (preferred)

5+ years’ experience in office or project administration, ideally within construction or engineering
-
Strong cost control, purchasing, and contract administration background

Excellent communication and stakeholder management skills
-
Ability to Lead, train, and support staff across administration, finance, and project teams
- Proficiency in MS Office and familiarity with accounting systems (Oracle / SAP preferred)

High attention to detail, organisational ability, and problem-solving skills

A current valid driver’s licence
