This is a key hire for a well-established, successful and centrally located civil contracting business in Auckland. This is a hands-on, office-based role where you’ll oversee day-to-day business operations and administration, HR and payroll coordination, IT systems, procurement activities, and assist with project documentation.Working closely with both management and field teams, this position requires strong communication skills, excellent attention to detail, and the ability to coordinate multiple priorities.
A solid understanding of how the civil construction industry operates in New Zealand is essential.
This is an office based position, no remote or flexible working is available.
Office hours are 8-4 which do have some flexibility either side – as long as the work gets done!
Main duties
- Business administration & support: manage office operations, support management and project teams, coordinate project updates, document control, stakeholder reports.
- HR, payroll & compliance: employee onboarding, HR documentation, timesheets, competency and site access tickets, health and safety administration
- Project & procurement support: procurement of materials, subcontractor documentation, supplier coordination, variations, payment claims, manage project records, supplier invoices, fleet & plant management.
- IT: maintain IT systems, software, user accounts, liaise with IT providers, manage digital filing systems, support rollouts, basic IT assistance and training to staff.
Skills and experience required
· A minimum of 6 years experience in a similar role, supporting the operations of a civil contracting business in New Zealand
· Strong proficiency in Excel, Office 365 suite and Sharepoint
· Experience in payroll processing, HR administration, and document control
· Excellent organisational and communication skills, especially when coordinating with field teams
· Ability to manage multiple priorities and work independently in a fast-paced environment.
· Highly personable with a can-do attitude
· High level of literacy and numeracy: attention to detail
· Proactive and assertive
